GREEN MEADOW CLEANING Service Agreement and Terms And Conditions

Thank you for choosing Green Meadow Cleaning. Our goal is to provide a professional, reliable, and consistent cleaning experience while creating a home environment that allows you more time to enjoy what matters most.

Green Meadow Cleaning is a locally-owned and -operated business. Our employees are fully bonded, insured, and have passed background checks.  We pay all federal, state, Social Security and Medicare payroll taxes.

Acceptance of Terms

These policies are designed to create clear expectations and help protect our clients, team members, and overall service experience.

By requesting an estimate, booking services, providing payment information, making payment, signing electronically, or providing verbal authorization over the phone, you acknowledge that you have read, understand, and agree to the terms and conditions outlined in this agreement. Verbal authorization carries the same weight as a written or electronic signature.

Green Meadow Cleaning reserves the right to periodically update these policies to improve services and client experience. If changes affect active or recurring services, notice will be provided using the contact information on file. Continued use of Green Meadow Cleaning services following updates constitutes acceptance of the revised terms.

By accepting this quote, you acknowledge and agree to the full Green Meadow Cleaning Client Service Agreement as follows:

Specifications: Please refer to the Services Comparison Checklist Chart to ensure you understand exactly what areas will be cleaned in your home. If what you want isn’t listed, you must discuss “special requests” with our before service begins as there may be a price adjustment. 

Services & Pricing

All prices are estimates based on the information provided at the time of quoting.

Pricing or service recommendations may be adjusted if the actual condition of the home differs from the information provided.

If changes are needed, Green Meadow Cleaning will make every reasonable effort to contact you before proceeding.

Estimates are valid for 30 days.

Payment & Retainers

A valid credit or debit card is required and must remain on file to reserve and maintain services with Green Meadow Cleaning. Clients are responsible for keeping payment information current. Appointments are not considered confirmed until this agreement has been accepted and any required retainer has been successfully processed.

Retainers: A 50% non-refundable retainer is required for all first-time and one-time services and will be applied toward the cost of the scheduled service. 

Move-out services require a 100% non-refundable retainer. Retainers reserve dedicated appointment time and may only be transferred according to Green Meadow Cleanings cancellation and rescheduling policies.

By providing payment information online, over the phone, or through any approved method, clients authorize Green Meadow Cleaning to process applicable retainers and service charges. Verbal authorization provided over the phone carries the same weight as a written or electronic signature.

Payment is due on the day of service and the card on file will be charged upon completion unless alternative payment arrangements have been approved in advance.

Outstanding Balances: 
If payment cannot be processed, Green Meadow Cleaning may contact the client, reattempt payment, pause future services, suspend recurring services, apply late fees, and pursue collection of unpaid balances and any associated costs permitted by law. Clients remain responsible for all unpaid balances and fees related to services provided.

Scheduling and appointment times

Business Hours / Service Times:

Green Meadow Cleaning operates during normal business hours Monday–Friday, 8:30 AM–4:30 PM. Green Meadow Cleaning offers preferred morning and afternoon scheduling options Exact appointment times are subject to change and cannot be guaranteed due to schedule changes, travel time, home conditions, and unforeseen circumstances.  Clients will receive appointment reminders and estimated arrival notifications; however, these are estimates and may change throughout the day. If significant delays occur, Green Meadow Cleaning will communicate updates as quickly as possible.

Cancellations, Rescheduling, and Lock Outs.

Late Notice Cancellation / Rescheduling: 

Cancellations require a minimum of 48 business hours notice. Appointments canceled with less than 48 business hours notice or same-day cancellations may result in a charge equal to 50% of the scheduled service amount. Because appointment times are reserved specifically for your home, last-minute changes often prevent us from filling the reserved appointment time.

Recurring service pricing is based on maintaining the agreed cleaning frequency. Frequent skips, extended gaps, or significant changes in home condition may require pricing adjustments.

Lockouts / Inaccessible Homes: Clients are responsible for ensuring access to the property at the scheduled appointment time and providing all necessary instructions to access the home.

If Green Meadow Cleaning is unable to access the property due to lockouts, denied access, or incorrect or missing entry information after the team has arrived, the appointment may result in a charge equal to 100% of the scheduled service amount.

For the safety and security of our clients, Green Meadow Cleaning does not keep physical keys in our office.

Equipment and supplies: Green Meadow Cleaning provides all cleaning equipment and supplies. Due to OSHA regulations, we are unable to use any cleaning supplies but our own without a signed liability statement.

Appliances, furniture, boxes, and miscellaneous : We do not move furniture, refrigerators, stoves or washers/dryers to clean under and behind them, even if they are on wheels.

Trash: We do not move large amounts of trash. We will place up to two kitchen-sized garbage bags of trash in the curbside container, but there is an extra charge for larger amounts of trash.

Home Preparation, Children, Pets & Safety

Home Preparation: To help us provide the best possible service, clients are asked to pick up excessive clutter, clothing, toys, trash, and personal belongings before service whenever possible. Areas covered by clutter may limit our ability to clean thoroughly. 

Children & Occupancy: For safety reasons, children under 18 years of age should not be left unattended during cleaning appointments.  If only minors are present, Green Meadow Cleaning reserves the right to reschedule

Pets & Safety: We love pets; however, aggressive or anxious pets should be secured before our arrival. Green Meadow Cleaning team members are not permitted to let pets outside during service appointments. We do not clean pet accidents, and pet activity occurring after service completion is not covered under our satisfaction guarantee or reclean policy.

Move-In / Move-Out Cleaning Preparation: Move-in and move-out services require the property to be completely vacant at the time of service.

The following should be completed prior to our arrival:

  • Furniture removed
  • Personal belongings removed
  • Cabinets and drawers emptied if interior cleaning is requested
  • Utilities turned on
  • Green Meadow Cleaning cannot work around movers, stagers, contractors, painters, maintenance workers, or similar activity during service.

Once an area has been cleaned, Green Meadow Cleaningcannot guarantee conditions that change due to post-cleaning activity or work completed after service.

Communication Policy

To help maintain clear communication, protect client privacy, and ensure scheduling accuracy and service consistency, all service-related matters should be directed through the Green Meadow Cleaning office at 423-207-0268.

For quality assurance, training, documentation, and service improvement purposes, phone calls with Green Meadow Cleaning may be monitored or recorded.

Satisfaction Guarantee / No Refund Policy

Green Meadow Cleaning does not offer refunds.

Concerns or missed areas must be reported within 24 hours of service.

Green Meadow Cleaning will make reasonable efforts to inspect and correct reported concerns within 24 business hours (excluding weekends and holidays). Recleans are limited to the specific areas of concern or missed items reported and do not include re-cleaning the entire home.

For services with a predetermined scope, such as Deep Cleans, General Cleanings, Move-In/Move-Out Cleanings, and Post-Construction or Renovation Cleanings, additional service recommendations may be necessary if the condition of the home differs from what was originally expected. If additional service recommendations are made and declined,  Green Meadow Cleanings Satisfaction Guarantee will apply only to the areas completed within the approved scope of work.

Documentation, Confidentiality,  & Privacy

Green Meadow Cleaning team members are required to maintain client confidentiality. Information seen, heard, or observed within a client's home will be treated as private and confidential and will not be shared except when necessary for legitimate business purposes, safety concerns, or legal obligations.

Green Meadow Cleaning may occasionally take photographs within the home for:

  • Quality control
  • Training and coaching
  • Service documentation
  • Internal communication
  • Resolving service concerns or damage claims

Photographs taken during service are for internal business use only and are intended to help protect our clients, team members, and overall service quality.

Photographs will never be posted publicly, used in advertising, shared online, or used for marketing purposes without separate written client permission.

Service Limitations & Safety

Green Meadow Cleaning is committed to maintaining a safe environment for both our clients and team members. For safety, health, and insurance reasons, we reserve the right to decline or stop services when conditions are unsafe or outside the scope of services we provide.

Green Meadow Cleaning does not provide or handle the following:

  • Human bodily fluids or biohazard cleanup
  • Mold treatment or remediation
  • Hazardous materials or chemicals
  • Pet waste, litter boxes, kennels, cages, or potty accidents
  • Homes with active infestations (including roaches, bed bugs, fleas, rodents, or similar pest concerns)
  • Handling or moving firearms, weapons, or ammunition
  • Carpet cleaning services
  • Cleaning areas beyond safe reach (higher than a two-step ladder)
  • Moving furniture or items weighing approximately more than 25 pounds
  • Moving items considered fragile, unstable, broken, or high risk of damage

Additional Service Guidelines

  • Water and electricity must be available during service appointments
  • Green Meadow Cleaning cannot guarantee removal of permanent stains, mold staining, rust stains, hard water buildup, or mineral deposits
  • Green Meadow Cleaning does not use client-owned ladders and follows OSHA safety practices

Damage & Breakage

Accidents occasionally occur despite careful handling. Damage or breakage concerns must be reported within 24 hours of service.

Green Meadow Cleaning is not responsible for:

  • Existing damage
  • Improperly secured items
  • Fragile or unstable items
  • Normal wear and tear

Employee Solicitation & Non-Circumvention

Green Meadow Cleaning invests significant time, effort, and resources into recruiting, screening, training, and developing our team members.

During active service and for a period of 12 months following the last date of service, clients agree not to directly or indirectly solicit, hire, recruit, or engage any current or former Green Meadow Cleanin team member for private cleaning services or work outside of Green Meadow Cleaning without prior written consent.

Violation of this policy may result in:

  • Immediate termination of services
  • A $4,000 placement fee payable to Green Meadow Cleaning within 14 days.

The placement fee (finders fee) helps offset the investment made in recruiting, hiring, training, and developing our team members.

Once a client directly hires or engages a Green Meadow Cleaning team member outside of company services, Green Meadow Cleaning is no longer responsible for matters including, but not limited to:

Liability protection, Insurance coverage, Scheduling management, Background screening requirements.
Quality standards, Employee oversight and support

Failure to comply with this policy may result in Green Meadow Cleaning pursuing any available remedies permitted by law.

Right to Refuse or Terminate Service

Green Meadow Cleaning may delay, refuse, or discontinue service if conditions create safety concerns, including but not limited to:If unsafe or prohibited conditions are discovered upon arrival:- Applicable service charges may still apply,

  • Aggressive pets
  • Threatening or unsafe behavior
  • Active construction, remodeling, or contractor activity
  • Visible mold concerns
  • Hazardous conditions or materials
  • Situations where our team feels unsafe
  • Hazardous materials are present
  • Illegal substances are present
  • Team members feel unsafe
  • Expectations fall outside agreed services
  • Repeated cancellations create scheduling issues
  • Communication or solicitation policies are violated

Final Acknowledgment

By requesting an estimate, scheduling services, providing payment information, making payment, signing electronically, providing verbal authorization, or allowing Green Meadow Cleaning access to the property to perform services, you acknowledge that you have read, understand, and agree to the terms and conditions outlined within this Service Agreement.

Verbal authorization carries the same weight as a written or electronic signature.
